You are getting married.  Now you need to start the exciting and daunting task of planning your wedding.  A wedding checklist is an essential tool to help you get organised and help in planning a wedding.  Read through the wedding planning checklist below and adapt to suit you and your wedding.  The wedding planning checklist order will need to be adapted to suit but should give you a good outline and starting point for wedding essentials.  If you can suggest any additions or great wedding planning ideas then we would love to hear from you and so that we can pass them on to prospective Brides and Grooms.

For those of you getting married in Cornwall and planning a Cornwall wedding you will find lots of useful Cornwall wedding suppliers and contacts for all your wedding needs.

 

Wedding checklist No 1 : Set a proposed wedding date or time of year

Would you like a winter wedding so you can accessorise with faux fur andSigning the Wedding Register muffs, a beautiful Spring Wedding or a Summer Wedding in a stunning outdoor location.  Have an idea of when you would like to get married as this will help when checking availability and suitability with wedding venues.   Consider that different times can mean different costs.  Venues are often more expensive in Spring and Summer as these are popular wedding times than in Autumn and Winter as these are quieter times for wedding venues.  If you are planning a wedding on a budget then picking a quieter time (or even a midweek day) can mean getting a better deal on the venue (and you can negotiate!).  Also popular times for wedding venues such as bank holidays can be booked up years in advance.

Wedding checklist No 2 : Prepare a Draft Guest List

Draw up a draft wedding guest list.  This will help you focus your mind on the type of wedding you are planning – a small intimate wedding or a large lavish affair.  The number of wedding guests will affect your choice of wedding venue and so it is good to have an idea early.

Decide if you are having children at your wedding and any special arrangements you need to make them welcome if you are.

Beach Wedding CornwallAlso you can now check that the important and essential people will be about for your proposed wedding date, get details of when they are unavailable and tell them not to book anything else around your proposed wedding date / time until you have fixed the date – consider sending “hold the date” cards if you already have a particular date in mind.

Wedding Checklist No 3 : Budget

Have an idea about your wedding budget.  For most people it is a good idea to have a clear idea about this and to stick to it whilst you are planning your wedding as it can keep you on track and stop expenses spiraling out of control. Whatever your budget you should be able to organise a beautiful wedding day and so don’t spend more than you can afford.

Consider whether using the services of a wedding planner would help you in planning your wedding.  If yes, do this early as you can then benefit from their advice from the beginning and they probably have good knowledge of local venues and local contacts to help bring your wedding together. Wedding Checklist No 5 : Picture your Wedding

Wedding by the Sea CornwallThink about how you would like your wedding to be, the kind of wedding you would like and where you would like to be married (locally, further afield or even abroad).  You now have an idea of the time and the number of wedding guests which should help you to start to bring a picture together of how you would like your wedding to look and what will reflect your personalities.

Having an idea will help keep everything together and give you an idea of where to start when looking at wedding venues.   Would your wedding to be outside in a garden or a beach wedding, a traditional wedding in a large wedding venue hotel, a small wedding in intimate surroundings.  Or maybe being Green is important to you both or you would like a really fun wedding venue or something completely different eg a Woodland Wedding or get married in a Sculpture Park!

You may also like to start thinking about a theme for your wedding such as sophisticated, elegant, relaxed or fun.  Or maybe something you love such as a Winter Wonderland wedding with penguins or rabbits which you adore.  You want your wedding day to reflect you.  You can also start giving thought to a colour scheme which will help you in the wedding planning of your wedding flowers, bridesmaid dresses, grooms accessories and decorations.

Wedding Checklist No 6 : The Wedding Ceremony

Think about the kind of wedding ceremony you would like.  Would you like to be married in a religious ceremony such as in a church, a humanist ceremony Wedding Ceremonyor a civil ceremony where there is a lot of choice and flexibility about where to say your vows.  Read more about planning a civil wedding ceremony.  Discuss this together to make sure you are both in agreement.  If you are planning a none religious wedding ceremony have a think about whether you would like this to be held in the same place as your wedding reception or if you would like to say your vows in one place and then move on to another wedding reception venue.

Wedding Checklist No 7 : Planning The Wedding Venue

Think about the kind of wedding venue you would like - are you after a wedding venue hotel which can do everything or a venue for the ceremony moving onto a wedding reception venue? Do you need wedding guest accommodation? Would you like the venue to cater for your wedding or would you like to be able to bring in wedding drink and wedding caterers or do some of the catering yourself (this can be a good idea for a budget wedding as can keep costs down particularly in relation to drinks).  You may want an exclusive use wedding venue or a venue where you can make your wedding celebrations last all weekend.

Using your information from checklist answers 1 to 7 draw up a wedding venue checklist of things which are important and essential to you in a wedding venue to help keep you focused so that you are clear when you start your search for your perfect wedding venue.

Wedding Checklist No 8 : Viewing Wedding Venues

Arrange to look at the wedding venues which you think will work for you.

Make sure you have an appointment with their wedding coordinator and so that you get to meet who would be organising your wedding for you.  You need to feel confident that they will be able to bring everything together for you and organise your dream wedding.  They should make you feel special and like your wedding is important to them, you don’t deserve to feel like you are just another couple on their wedding conveyor belt.  Make sure you feel confident in the venue and the wedding organiser.

If you think you have found your ideal wedding venue then arrange to go for dinner or lunch if you can to really get a feel of the place.  It is an important decision – and anyway it is a good opportunity to enjoy a romantic meal together and celebrate being engaged!

When you think you have found your perfect venue ask them to pencil in your wedding date and confirm they will not book this date without speaking to you first.

When viewing a wedding venue or wedding reception venue go armed with a checklist of questions which are important to you and so you don’t forget what you want to know, things to discuss with the venue are:  

 
Wedding Venue Checklist
Cost – Get a clear idea of exactly what this includes and any extras that will need to be added.  Is there a clear wedding package or is it a bespoke wedding service.

What will the venue provide – dedicated wedding planner, red carpet entrance, toastmaster, any table decorations, chair coverings, a complimentary honeymoon suite for the bride and groom, cake stand and knife

Drinks – Does the wedding venue supply these or can you supply your own – is there a corkage fee?

Food – If the venue is arranging the catering for your wedding reception discuss options and menus available and ask how they cater for children and special dietary requirements.

Time – How long is the venue available to you for, when can you have access to set up your wedding decorations, table plans and other arrangements, how much do you do and how much will the venue do, what are the arrangements for clearing up after your wedding.  At what time do the wedding celebrations have to finish and can this be extended if necessary.

Music – What are the wedding music options, DJ, Band, Quartet…
Dedicated area – which areas of the venue will be dedicated to you and your guests, will there be any other weddings or large events on the same day and how will this affect you

Accountability – Who will be responsible at the venue for organising your wedding and helping with arrangements.  Make sure you have a personal contact to help you.

Availability – Discuss dates the venue has available and any variation in cost of these dates.

Pencil in your date – If this is the venue for you ask them to pencil in your date and assure you they won’t let the date go without first speaking to you

 

Wedding Checklist No 9 : Check the Wedding Date

Once you have chosen the wedding venue you would like and have penciled in your proposed wedding date you need to check the availability of this date with your wedding ceremony venue and the person who will be performing your wedding service such as the Registrar or Vicar and make sure they have this date reserved for you.

Check the date again with your main wedding guests and make sure that they are available and make sure they know to keep your wedding date clear.
If you need to employ separate Wedding Caterers for your wedding then look into this and check availability.

Or if you need a wedding marquee check they are available

Confirm the venue – if all the venue and guests and essentials come together then you can confirm your bookings and make sure you have confirmation of booking. 

Once you have a date that will work for every part of your wedding you can confirm your bookings and reservations.

Wedding Checklist No 10 : Wedding Insurance

At this stage in your wedding planning you may be required to start paying out deposits to confirm your bookings.  You should consider whether obtaining wedding insurance would be a good idea to cover you in case things have to be changed or cancelled.

Wedding Checklist No 11 : Set the Guest List and Send out Save the Date or Wedding Invitations

Now you have a date for your wedding you can finalise your wedding guest list and depending on how far away your wedding is either send out Save The Day Notes so your guests know to keep your wedding day clear or send out wedding invitations. 

If you only send out Save The Dates make a note to look at and order if necessary wedding invitations on your wedding planning checklist and a note when these should be sent out.  You don’t want a wedding with no guests!
If you are sending out Save The Dates consider enclosing a note asking people to notify you about any special dietary requirements or allergies which will help you when organising the wedding food. 

If you are sending out invitations then you may wish to complete Wedding Checklist No 14 before sending them out and then you can enclose any Menu choices or options with the invitations.

If you are sending out wedding invitations then you may wish to include details about wedding presents or where you have registered for these if this is what you are doing – see Wedding Checklist number 13 below.

Wedding Checklist No 12 : Order the Wedding Cake

Specialists advises ... don't leave ordering your wedding cake too late or the wedding cake maker you want might not be available, most wedding cake makers will only prepare one or a limited number of wedding cakes on any given day due to the time and effort involved. Also, if you would like fruit cake this takes planning and time as the fruit needs to be prepared and soaked months in advance.

Now you have an idea of your wedding theme and venue you can think about the kind of cake which will fit in.  Have a look for wedding cake ideas in magazines and on the internet to give help give you  ideas for your wedding cake.  There are lots of choices available, traditional tiered wedding cakes, modern style cakes or you could opt for a display of a mixture of wedding cupcakes.  View examples of wedding cakes.  You will also need to think about the wedding toppers you would like to sit on the top of the cake and represent the Bride and Groom. 

Then have a look for cake makers which will be convenient for your wedding venue or wedding plans and arrange to meet with them to discuss your wedding cake and have their opinion.  Make sure you have a look at cakes they have made and you could ask them to put you in touch with someone whose wedding cake they have made for a reference. This is the best part as you should get to sample some of their cake to help you choose what you would like – traditional fruit cake, chocolate cake, vanilla or a mixture of all three.

Wedding Checklist No 13 : Wedding presents

Wedding PresentsIf you are having a wedding present list or registering with a company who does this make sure this is organised early and your guests have the details they need in time to be able to purchase gifts.  Ideally include wedding gift details with the invitations and so that your guests know what is expected

Whether your wedding venue is preparing the wedding food, you are using wedding caterers or you are preparing the wedding food you need to plan in advance the wedding breakfast your guests will be enjoying at your wedding. 

Sit down with the right person and decide on the menu you will be having at your wedding and how you will deal with any special dietary requirements.  If there is going to be a choice of food prepare a menu to send to your guests and so that they can make their selections.

In addition to your wedding breakfast you may be having canapés and or an evening buffet.  Start planning these and keep in mind you will need vegetarian and possibly other special dietary options.

If you are planning a budget wedding then your wedding cake can double up as desert for the wedding breakfast or buffet.

Start planning ahead and booking appointments with your hairdresser and beautician to make sure they are available on the run up to your wedding.  Book in for treatments and appointments you will want in the months running up to your wedding.

Don’t forget to make time for practice wedding hair and wedding make up appointments either with yourself or with a professional.

Think about your wedding day will you want a professional wedding hair dresser and wedding make- up artist?   If yes decide who you would like, meet them to discuss and book them so that they are available on your wedding day.

Wedding Checklist No 16 : The Bridal Party

Confirm who the bridal party will be and decide on Bridesmaids, a Best Man and Ushers. Ask them and make sure they are happy to be an integral part of your wedding.

Wedding Checklist No 17 : The Wedding Dress

Not only do you need a Wedding Dress but a whole bridal outfit.  ThinkWedding Dress about the look you would like and look in magazines and on the internet for ideas.  Have outings to wedding dress shops to try dresses on and get ideas.  Remember that dresses may need to be ordered in advance, require alterations and or need dry cleaning.  Make sure you leave plenty of time for this.  Read wedding ideas and advice about choosing your wedding dress.

  • A Fabulous Wedding Dress
  • Wedding Shoes (think about the size of heel you would like when trying on wedding dresses and having wedding dress alterations this will affect the length of the wedding dress)
  • Does the wedding dress need altering?  Arrange this if does
  • If the dress is vintage or pre-loved does it need dry cleaning - find a specialist and discuss timescale / availability
  • Are you having a veil, tiara, head dress
  • Do you need a wrap, cloak or something to go over your wedding dress to keep you warm
  • A handbag if you want one (or maybe this is what bridesmaids are for!)
  • Wear your wedding shoes in around the house – you don’t want them rubbing on your wedding day – do they need insoles etc buy these now
  • Wedding underwear (secret here – grooms skip this bit and brides read on – in reality you may need two sets-  the underwear designed to make your dress look fabulous and your figure look at its best may not be the underwear you want for your wedding night, a sneaky change may be in order so you may need two sets of wedding underwear)
  • Stockings, hold-ups or tights - think what colour you want. This may be different than your normal colour eg if you want white or cream and so don’t forget these often overlooked items and get extra pairs for any holes or ladders which may occur.
  • Wedding jewellery to finish off your wedding outfit – you may have a special family piece or piece you own, want to have a piece especially made or to choose something new.  View list of wedding jewellery makers here.
  • The basics - plan ahead and make sure you have the make-up, perfume and beauty things you need as well as little extras like hair clips, handkerchiefs, tissues
  • Are you planning to change in the evening you may need a second outfit for this
  • If you plan to see your guests the day after your wedding have an outfit ready and planned and so that you don’t have to worry about this
  • And of course don’t forget something old, something borrowed and something blue!

 

Wedding Checklist No 18 : Bridesmaid dresses

Make sure you know who is paying for the Bridesmaid dresses and have a clear indication of budget for the whole outfit.  Chat with your bridesmaids about shoes they already have etc as they probably have some which may be suitable.  Your Bridesmaids will need:

  • A pashmina, wrap or bolero if they will need something over their dress
  • Shoes – do these need to match or just be the same colour
  • Wedding hair and make-up – will they be doing this themselves or are you arranging professionals

  • Do the Bride and Groom need transport from the ceremony venue to the wedding reception venue
  • Where are you staying on your wedding night – do you need transport for after the wedding reception finishes

Wedding Checklist No 21 : Wedding flowers

Think about the wedding flowers you would like taking into account yourWedding Flowers venue and any wedding theme or colour scheme.  Read wedding ideas and advice on choosing wedding flowers.  Have a budget in mind and think about the flowers you will need and then visit potential florists.  When you do ask to see their work, or better still ask if they have a wedding coming up so that you could pop in to see the wedding flowers and check you like their work.

Book a florist.  Decide together the wedding flowers you are going to have.

Wedding Flower Checklist : You may need

  • A bridal bouquet
  • Posies for Bridesmaids
  • Button holes and corsages – think who you are providing these for –  Groom, Bestman and possibly ushers, mother and father of the bride, mother and father of the groom, maybe brothers and sisters, grandparents or other close wedding party members
  • Flowers for the ceremony venue
  • A wedding flower display for the wedding car
  • Table decorations for the wedding reception and possibly displays for here
  • Bouquets for thank you presents

Remember some of the wedding flowers can have more than one use – the bridal bouquet and Bridesmaid posies can be placed on the top table as decoration.  Once you have finished with the wedding car the flower display from here can be used somewhere else and also the flowers from the ceremony venue (unless it is a church where usual form is to leave the flowers for the church) could be transferred to the wedding reception venue.  With a little careful planning and help from the close wedding party this should be able to be achieved without anyone knowing.

Wedding checklist No 23 : Wedding Music

Your wedding music will really set the tone for your wedding day.  You will need to choose music for different parts of your wedding – not just the DJ.  Our wedding music checklist below sets out what you might need.
Wedding Music Checklist – things to think about

  • Will there be music playing when the bride walks down the aisle and when the Bride and Groom walk back up the aisle
  • Will there be music in the ceremony?  Maybe a quartet, background music or a choir
  • Will there be hymns during the wedding service
  • When people arrive at the wedding reception will there be drinks and canapés and if so will music be playing  - a quartet or background music
  • Think about background music for the wedding breakfast – you could prepare your own ipod list or maybe the venue has some to play or maybe you don’t want any
  • Wedding music for your evening wedding reception – are you having a wedding DJ and or band or are you playing your own music – some venues are set up for you to do this

Once you have established the wedding music you would like make sure you find and book and DJs, bands or quartet which you would like in good time as if they are good it is likely they will get booked up.

Wedding Checklist 24 : First Dance Music

You need to choose the song for your first dance and plan how this will be played - will your DJ play it, your band or are you taking your iPod to play it.  Also plan when in your wedding day schedule you will have your first dance as husband and wife.

Plan out a wedding day schedule so you know how your wedding day is going to go, (and) what the essential timings are and what will happen when.

Things to consider and plan for are - guests arrival at the wedding ceremony venue, brides arrival at the wedding ceremony venue, when the wedding ceremony will finish, timings of wedding photos, what time guests will arrive or move onto the wedding reception venue, when welcome drinks and canapés will be served, what time you will sit down for the wedding breakfast, will wedding speeches be before or after the wedding breakfast, timings for the evening wedding reception, wedding first dance, wedding buffet, and what time your wedding will finish (as yes unfortunately it will).

You may also wish to write separate wedding itineraries eg for the Bride so you know clearly what you should be doing when, especially before you leave for your wedding eg when will people such as the wedding hairdresser and make-up artist arrive, when bridesmaids and any other people will be arriving and when you should be doing what to make sure you are ready to leave on time.

The Groom may also have lots to do on the morning of the wedding such as seeing to wedding decorations and making sure things like flowers and cake have arrived so a wedding checklist and itinerary to help keep him on track is a good idea too and also for any other wedding party members who have important things to do or check during the wedding day.

Wedding Checklist No 30 : Order of Wedding Service, Wedding Day Itinerary for Guests

Put together your Order of Service for your wedding ceremony and also possibly a wedding itinerary for your guests so they know what will happen when and when food etc will be served

Wedding Checklist No 31 : Wedding Table Plan and Name Cards

Once you have received confirmation of which wedding guests will be attending your wedding you can start on the wedding breakfast table plan – no easy task!

You will need to prepare a large scale table plan to put up at the venue so guests can locate where they are sitting.

Identify any guests with special dietary or other needs to the wedding coordinator so they know where they will be sitting.

You will need name cards for the wedding breakfast tables so that guests can locate their seat.  One wedding idea is to write guests meal choices on the back or inside or their name cards as many guests will have forgotten what they ordered by the time it comes to sitting down for the wedding breakfast.

Wedding Checklist No 32 : Food and Wine

If you are providing any of your own food and wine start pricing this up in advance and keeping an  eye out for good deals and  special offers which you can buy in advance to save time and money nearer your wedding day.

Wedding Checklist No 33 : The Honeymoon

You need to plan and book your Honeymoon.

Check your passports are in date.

Brides, if you want your new name on your passport you can do this in advance but find out the procedure in good time and so you know exactly what to do. Whatever you do you don't want to be without your passport if you are going away.

If you are going on Honeymoon straight after your wedding then make sure you are organised and have everything you need packed well in advance as you will not have much time near to your wedding date.

Wedding Checklist No 34 : Wedding Speeches

Decide who is making speeches and make sure they know what you expect well in advance and how long the speech should be – give a time limit to avoid lengthy speeches which are just a bore to your guests.

Organise this ideally for at least a month before your wedding so that you can relax and enjoy without panicking about last minute wedding arrangements and it also gives everybody time to recover.

Wedding Checklist No 36 : Rehearsal Dinner

If you are having a wedding rehearsal dinner or get together the evening before your wedding make sure this is planned and booked and confirm who will be attending.  Make sure it is clear who is paying for this – will guests be paying for themselves?  Best to be clear to avoid any awkwardness.

Wedding Checklist No 37 : Post Wedding Breakfast or Brunch

Is everyone getting together for breakfast / brunch or on the day after the wedding - make sure people know arrangements and times and that this is booked and organised.
